This Privacy Policy regards our collection, use and disclosure of personal data when you use Trelica’s https://trelica.com public website (the “Website”), our online SaaS management application (the “Services”) and any related guides or instructional materials (the “Documentation”). This policy also describes the choices you have associated with that data. Trelica Limited (“Trelica”, “us”, “we” or “our”) is the owner and operator of the Website, Services and Documentation, and is a company registered in England & Wales.

We use your data to provide and improve the Website, Services & Documentation. By using the Website, Services or Documentation, you agree to the collection and use of information in accordance with this policy.

This policy may change from time to time and you are advised to review this web page periodically for any changes.

Capitalised terms used below but not defined in this policy have the meaning set forth in either the User Terms of Service and/or, for Customers, the Master Subscription Agreement.

Definitions

Personal Data - means data about a living individual who can be identified from those data (or from those and other information either in our possession or likely to come into our possession).

Usage Data - is data collected automatically either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).

Data Controller - means the natural or legal person who (either alone or jointly or in common with other persons) determines the purposes for which and the manner in which any personal information are, or are to be, processed. For the purpose of this Privacy Policy, we are a Data Controller of your Personal Data.

Data Processors (or Service Providers) - means any natural or legal person who processes the data on behalf of the Data Controller. We may use the services of various Service Providers in order to process your data more effectively.

Data Subject (or User) - is any living individual who is using our Service and is the subject of Personal Data.

Personal Data

We use cookies and similar tracking technologies to track activity.

By authorising us to connect with an Integrated Service, you authorise us to access and store your name, email address(es), profile picture URL, and other information that the Integrated Service makes available to us, and to use and disclose it in accordance with this Policy. You should check your privacy settings on each Integrated Service to understand what information that Integrated Service makes available to us, and make changes as appropriate. Please review each Integrated Service’s terms of use and privacy policies carefully before using their services and connecting to our Service.

Information from Other Sources

We may obtain information, including Personal Data, from third parties and sources other than the Service, such as our Integrated Services. If we combine or associate information from other sources with Personal Data that we collect through the Service, we will treat the combined information as Personal Data in accordance with this Policy.

Use of Data

We use the collected data for various purposes:

  • To provide and maintain our Website, Services & Documentation

  • To notify you about changes to our Website, Services & Documentation

  • To allow you to participate in interactive features when you choose to do so

Additional Limits on Use of Your Google Workspace User Data

Notwithstanding anything else in this Privacy Notice, if you provide the Services access to your Google Workspace data, the Services' use of that data will be subject to these additional restrictions:

  • The Services will only use access to read a list of domains managed by Google Workspace, read data about the number of Google Workspace licenses allocated, read organisational unit structures, read user email addresses and associated attributes such as line manager, read access tokens and audit log data to process which applications a user has accessed, view and manage group membership, view and manage groups in your Google Workspace, enable you to manage user provisioning and deprovisioning processes in your Google Workspace, including but not limited to data transfer between user accounts.

  • The Services will not use Google data for serving advertisements.

  • The Services’ use of information received, and the Services’ transfer of information to any other app, from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

If you are from the European Economic Area (EEA), our legal basis for collecting and using the personal information described in this Privacy Policy depends on the Personal Data we collect and the specific context in which we collect it.

Trelica Limited may process your Personal Data because:

  • We need to perform a contract with you

  • You have given us permission to do so

  • The processing is in our legitimate interests and it is not overridden by your rights

  • To comply with the law.

Retention of Data

We will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes and enforce our legal agreements and policies.

We will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of our Service, or we are legally obligated to retain this data for longer periods.

Transfer of Data

Trelica offers hosting and data processing in the United States or Germany, with the former being the default and the latter being an option available to Customers on request.

Your information, including Personal Data, may be transferred to — and maintained on — computers located outside of your state, province, country or other governmental jurisdiction where the data protection laws may differ from those of your jurisdiction.

Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer.

We will take all the steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy and no transfer of your Personal Data will take place to an organisation or a country unless there are adequate controls in place including the security of your data and other personal information.

Disclosure of Data

Business transaction

If Trelica Limited is involved in a merger, acquisition or asset sale, your Personal Data may be transferred. We will provide notice before your Personal Data is transferred and becomes subject to a different Privacy Policy.

Disclosure for law enforcement

We may disclose your Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).

Legal requirements We may disclose your Personal Data in the good faith belief that such action is necessary to:

  • To comply with a legal obligation

  • To protect and defend the rights or property of Trelica Limited

  • To prevent or investigate possible wrongdoing in connection with the Website, Services or Documentation

Security of Data

The security of your data is important to us but remember that no method of transmission over the Internet or method of electronic storage is 100% secure. Our Policy On “do not track” Signals Under The California Online Protection Act (CALOPPA)

We do not support Do Not Track (“DNT”). Do Not Track is a preference you can set in your web browser to inform websites that you do not want to be tracked.

  • The right of restriction. You have the right to request that we restrict the processing of your personal information

  • The right to data portability. You have the right to be provided with a copy of the information we have on you in a structured, machine-readable and commonly used format

  • The right to withdraw consent. You also have the right to withdraw your consent at any time where we relied on your consent to process your personal information.

We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services.

Children's Privacy

Our Website, Services and Documentation do not address anyone under the age of 18 (“Children”).

We do not knowingly collect personally identifiable information from anyone under the age of 18. If you are a parent or guardian and you are aware that your Child has provided us with Personal Data, please contact us at privacy@trelica.com. If we become aware that we have collected Personal Data from children without verification of parental consent, we take steps to remove that information from our servers.
